About the Opportunity

We are seeking a Seasonal Program Administrator to support our summer youth programs and community initiatives. This individual will report to the Founder/CEO and play a key role in organizing and coordinating day-to-day program logistics, supporting staff and teaching artists, managing volunteers, and ensuring smooth operations for key organization programs. This is an ideal opportunity for someone passionate about the arts, youth empowerment, and community engagement.

PROGRAM ADMINISTRATOR


Employer: The Avenue Blackbox, Inc.

Reports To: Founder/CEO 

Type: Seasonal | Part-Time. Varying hours. Some nights/weekends.

Compensation: Based on experience and program. 

Location & Office: Rochester, NY (hybrid)


Key Responsibilities

  • Support planning and daily execution of summer programs and workshops

  • Serve as a primary point of contact for families, participants, volunteers, and instructors

  • Coordinate program schedules, track attendance, and maintain detailed records

  • Document and track program outcomes for reporting

  • Recruit, schedule, and supervise program volunteers; provide orientation and support

  • Assist with supply inventory, event logistics, and space setup/breakdown

  • Foster a welcoming, organized, and inclusive environment for all participants, collaborators, staff and volunteers


Required Qualifications

  • Strong organizational, communication, and interpersonal skills

  • Experience working with youth and/or in community-based program settings

  • Comfortable working with youth in a respectful, caring, mentoring role.

  • Ability to multitask and work independently in a fast-paced environment

  • Commitment to equity, inclusion, and the mission of The Avenue Blackbox

  • Exemplary communication skills, both oral and written.

  • Event management skills, especially for community engagement. 

  • Experienced user of common office software, especially Microsoft Office suite, Google Docs, Google Sheets, Google Calendar, and Zoom. 

  • Experienced user of Google Drive, Dropbox, and other file-sharing platforms. 

  • Valid driver’s license and reliable transportation

  • Mindful, self-motivated, professional, honest, thoughtful, and composed. 

  • While exceptionally detail-oriented, can also focus on large concepts and strategic issues. 

  • Collaborative and collegial in work and community relationships.

  • Above average computer skills, including experience working in MacOS is a plus.

  • Experience in youth education or youth development is a plus.

  • Prior experience coordinating volunteers is a plus.
