About the Opportunity

We are seeking a highly organized, welcoming, and detail-oriented Front Desk Guest Services & Administrative Coordinator to serve as a key point of contact for The Avenue Blackbox, Inc. This role combines front desk reception, administrative support, box office operations, and program coordination responsibilities.

The ideal candidate is a proactive communicator who thrives in a fast-paced, community-centered arts environment and enjoys working with youth, families, artists, and the public. This position plays a critical role in ensuring smooth daily operations and a positive experience for all visitors and program participants.

EMPLOYER: The Avenue Blackbox, Inc.

EMPLOYMENT STATUS: Full-time, W-2 status, hourly, varied-schedule (including evenings and some weekends)

Reports To: CEO/Executive Artistic Director & various managers/program administrators

COMPENSATION: $18-20 per hour

BENEFITS: Paid holidays, paid time off + wellness and sick time

LOCATION & OFFICE: Rochester, NY (in person, front desk)


Key Responsibilities:


Front Desk & Guest Services

  • Welcome visitors

  • Manage inquiries 

  • Oversee check-in/sign-in processes

Administrative & Office Support

  • Maintain records, schedules, communications, and 

  • Maintain front office systems, including supply inventory and organization

Box Office & Event Support

  • Manage ticketing, customer service, and support front-of-house operations for events

  • Assist with event setup, breakdown, and front-of-house operations

  • Engage with participants and community members to support a positive experience

Program Coordination

  • Support after-school and family programs, including registration, attendance tracking, and participant communication

  • Prepare program materials and spaces

  • Support and help facilitate participant and family orientations

  • Assist with onboarding processes and required documentation

  • Help ensure a safe and welcoming environment

Data & Experience Tracking

  • Maintain attendance data, manage surveys, and track participant and guest feedback

  • Support evaluation and continuous improvement efforts


Qualifications

  • High school diploma or equivalent

  • Experience in administrative, customer service, or front desk roles and technology

  • Strong organizational and communication skills

  • Comfort working with youth and families

  • Experience with data entry and recordkeeping preferred

  • Basic proficiency with office software

  • Flexibility for evenings and weekends

  • Driver’s License and ability to pass a background check and fingerprinting
